Microsoft 365 Copilot is a tool that is becoming increasingly common in the day-to-day work of sales departments. Its capabilities go far beyond text generation; it’s an intelligent assistant capable of analyzing the market, comparing documents, preparing proposals and presentations, and conducting in-depth customer research. The following article presents specific scenarios for using Copilot that can be implemented almost immediately.
Data Security as the Foundation for Working with AI
Before describing the individual features, it’s worth highlighting an issue that often raises concerns: data protection. In the Microsoft 365 environment, all information submitted to Copilot is covered by the company’s data protection policies. This means that data is not sent to external language models, is not shared with Microsoft or other parties, and no competitor will gain access to the company’s strategies or documents. Copilot works exclusively with data to which the user has access permissions.
Market Analysis and Prospecting
One of the most time-consuming tasks in sales is prospecting—searching for companies that might be interested in a particular offer. Copilot significantly speeds up this process.
Simply describe what the company does and what kind of customers it’s looking for, and the tool will generate a list of potential customers. You can specify the industry, region, company size, or nature of the business—the more details you provide, the more accurate the results will be.
Copilot’s default response provides a basic summary. However, enablingThink Deeper mode causes the tool to perform several analytical steps and return a report that can be as long as several pages, containing:
- financial data and information about companies’ investments,
- an explanation of why a given entity might be interested in the offer,
- detailed contact information, including the individuals responsible for purchasing,
- sources used in preparing the report.
The data collected in this way serves as a ready-made database for cold calling and cold emailing.
Comparing documents, specifications, and proposals
Working with multiple documents at the same time—such as technical specifications, competitors’ bids, or tender results—can be tedious and prone to errors. Copilot integrates with the OneDrive app, allowing you to select two or more files and compare them with literally just one click.
The output is a structured summary that shows:
- differences in the technical specifications of products,
- differing terms in the offers being compared,
- Details regarding the warranty and service.
This feature is useful both for preparing for a meeting with a client (a quick analysis of competing models) and for analyzing tender results—for example, comparing your own bid with the one selected by the contracting authority to understand where the differences lie.
In-Depth Customer Analysis with a Research Agent
The Researcher agent is an advanced tool available in the Microsoft 365 Copilot navigation bar that performs a multi-step analysis of a selected client or topic. It can search both internal company resources (documents, folders) and the internet.
Once the task has been defined, it may take the agent up to 20 minutes to complete it, but during that time the user can attend to other matters while the analysis runs in the background. The result is a 20–30-page report, which may include:
- customer profile: number of employees, revenue, growth rate,
- purchase signals and investment information (including from European funds),
- identifying which products may be a better or worse fit for a given customer,
- contact information for decision-makers responsible for purchasing,
- a ready-made, step-by-step prospecting script,
- draft messages for cold emailing and cold outreach on LinkedIn,
- sources of all the information used.
It’s important to remember that the salesperson’s knowledge and experience remain crucial. Copilot serves as an analytical partner; it does not replace human judgment and decision-making. Its conclusions should be viewed critically and verified based on your own knowledge of the market.
Preparing Commercial Proposals in Word
The Copilot feature built into Microsoft Word can significantly reduce the time spent working on proposals. It’s not about generating an entire document from scratch—its practical use lies in providing support for specific sections: a substantive introduction, a selected paragraph, or adjusting the tone and format of the text.
An example workflow looks like this:
- Opening a proposal document in Word.
- Call up Copilot and ask it to draft an introduction—for example, a 300-word text—about the benefits of Apple laptops for small and medium-sized businesses.
- Optional refinements to the requirements: adding bullet points, changing the format of selected paragraphs, adjusting the style.
- Comparing Versions and Choosing the Best One.
- Manual editing and customization of the text for a specific client.
The new version of Copilot for Word introduces an agent mode (edit with Copilot), in which the tool automatically applies changes to the document and presents them for approval—similar to track changes. This approach helps maintain consistency in style and formatting throughout the entire document.
Creating Sales Presentations in PowerPoint

Preparing a proposal presentation is another time-consuming task. Copilot, integrated with PowerPoint, allows you to create a ready-made slide structure based on an existing proposal or other documents.
The process is as follows:
- Attach the proposal file (e.g., a Word document) to Copilot.
- The tool prepares the presentation structure, selects headings, slide content, and the logical flow.
- Copilot uses the company’s graphic theme as a template to customize the slides to match the company’s color scheme, fonts, and logo.
- You can choose between stock photos and photorealistic images generated by AI.
- Copilot automatically inserts excerpts from the proposal—prices, terms, and key selling points—into the presenter’s notes.
The resulting presentation provides a solid foundation for your work, which you can then refine manually or with further AI assistance by adding new slides, expanding the content, or modifying the layout.
Analysis of Sales Results and Market Trends with an Analyst Agent
Analyst Agent is another tool available in Microsoft 365 Copilot, designed for people who work extensively with numerical data. It can analyze Excel files and exports from CRM and ERP systems, while also drawing on external data, market reports, and information available on the internet.
Applications include, among others:
- an analysis of manufacturers’ sales strategies in the market (e.g., segmentation, distribution channels, recommendations for distributors),
- comparison of the company’s own sales results with market trends (analysis of whether the company is above or below the trend),
- identifying key trends, such as the growing demand for devices with AI capabilities,
- visualization of results in the form of charts and strategic maps.
- Like the Research Agent, the Analyst serves as a sounding board—providing insights and recommendations—but it is the user, as the expert, who makes the final business decisions.
Summary
Microsoft 365 Copilot offers sales teams a suite of tools that can significantly reduce the time spent on analytical, documentation, and preparatory tasks. Key use cases include:
- Prospecting—automatic identification and analysis of potential customers,
- Comparing documents—quotes, specifications, bid results,
- Customer Analysis—an in-depth report prepared before a sales call,
- Creating Proposals —assistance with editing and formatting Word documents,
- Presentations—creating slides using the company template based on the proposal,
- Data analysis—comparing our own results with market indicators.
To use these tools effectively, you must treat Copilot as an assistant, not as an oracle. The salesperson’s knowledge, experience, and critical thinking remain irreplaceable. AI is here to enhance these resources and free up time for what truly requires human involvement.
